If you took the time to read Tanning Event Tips – Part 1, here’s 2 more topics to cover to help you with your preparations. Preparing your staff is one of the most important tip, but operations will give you some pointers that sometime are left to the last minute or not thought of at all.
PREP YOUR STAFF
- Hype this event like crazy! Make it exciting for your staff and get them involved. Remind them they have to be available and make sure they are all looking tanned and gorgeous.
- Pass out your promo cards to every client for the entire week leading up to the event.
- When the staff are checking in each client, make sure they are taking the time to personally invite them. Explain there will be amazing specials “This Weekend Only” in celebration of the “Grand Opening.” or whatever your event theme is.
- PRE-SELL until you’re blue in the face! Help clients think about what they might purchase and discuss their next package.
- Encourage clients to purchase packets of lotions to try something new BEFORE the weekend hits so they will know what lotion to purchase.
- This is critical for 2 reasons:
- Plan to be swamped! Pre-selling will cut down the wait time if they already have an idea of what they want to buy.
- Warms them up to the buying process before the weekend. Otherwise, you’re working a cold client
ADDED BONUS! You’ll sell a bunch of packets this week.
- Let them know they can’t miss it! They’ll be able to tan free all 3 days! Once you get them in the salon, they’ll be sold on you and your team.
- All staff dressed in matching new shirts.
- Explain any procedures for mystic/airbrush appointments. Be sure they know how to explain “How To Prep” for the airbrush tans.
OPERATIONS
- This depends on your software, and maybe you already have this figured out. But sometimes is easy to set up a 3 Tan package in the system, and set it to expire on the last day of the event. This way, when clients come in, you’ll add it to their acct and they’re good to go for the entire weekend. If they don’t come in 1 of the days, it’s no big deal, it will just expire out by Monday for you so there’s nothing left on the account.
- Train your bed cleaners on all other tasks so you can focus on selling. Answering the phone is key. You’ll get a ton of calls, so get to them quickly but encourage them to come in. Don’t spend time on the phone. Laundry and quickly turning over the beds is crucial.
- Feed your staff! Trust me when I say there is no time to send people out for food and sometimes no time to even eat! Plan ahead. Pre-order food delivery or stock up in advance on trail mix, drinks, and whatever treats the gals like to munch on. Productivity will be high and they’ll appreciate it. Now, enjoy all your hard work and have fun!

We allowed Tan-Do to use our licensing for that one. We have been working with them as a case study for the last couple months. Some of their promotions are yet to be released. As soon as we launch you’ll have access to a ton of fantastic templates that you can edit to fit your salon.
how many big promotions do you do in a year and do you use radio
also how well does your referal program work ,why level 3 not 1 and how can they use the $10 bucks you give the current customer
